INTRODUCTION FLIGHT POLICY
Validity: Introduction Flight vouchers are valid for a period of 6 months from the date of purchase. It is the responsibility of the voucher holder to schedule and complete the flight within this timeframe.
Usage Limit: Each Introduction Flight voucher can be redeemed only once per year per individual.
Gift Option: Vouchers can be transferred to another person as a gift. However, to facilitate this transfer, verification through the original order email and order number is required.
Purchase and Scheduling: Introduction Flight vouchers can be purchased exclusively through our website. To schedule a flight, voucher holders must contact us via phone at 301.764.2888. Our team will assist you in selecting an available time slot and provide further instructions.
Arrival Time: Voucher holders are required to arrive at the designated location at least 15 minutes prior to the scheduled flight time. Flight Instructor will still meet the voucher holder at the scheduled time. Meeting spot will be next to our Yellow sign on the fence at the airport.
Address 7940 Airpark Rd Gaithersburg MD 20879.Punctuality Policy: We understand that unforeseen circumstances may arise. If the voucher holder arrives up to 10 minutes late, the briefing portion of their flight will be shortened by 10 minutes. However, tardiness exceeding 10 minutes will be deemed a No Show, resulting in the forfeiture of the Introduction Flight voucher.
Cancellation/Rescheduling Policy: We operate on a 48-hour cancellation and rescheduling policy. Any cancellations or rescheduling requests must be made at least 48 hours prior to the scheduled flight. Last-minute changes due to emergencies will be considered a No Show, leading to the forfeiture of the voucher.
By purchasing and/or redeeming an Introduction Flight voucher, you agree to adhere to the policies outlined above. These policies are in place to ensure the smooth operation of our Introduction Flight program and to provide all participants with a safe and enjoyable experience.
ATTANDANCE POLICY
As a student at Pilot in Training Flight Academy, you are responsible for regularly attending training sessions and making your best effort to complete the program within the designated timeframe. It is important to understand that any extended break or period of inactivity will delay your training, both in terms of time and costs.
If you are unable to meet the participation requirements and wish to resume training after a prolonged absence, we reserve the right to terminate or postpone your training if there are no available instructors or airplanes. Furthermore, we may change your assigned instructor at our discretion.
By enrolling in our program, you acknowledge and accept that maintaining consistent attendance is crucial for timely and cost-effective completion of your training.
STUDENT PREPAREDNESS POLICY
You must arrive well-prepared for each lesson. This means that you will arrive with all reading assignments complete, all videos watched, and home study work complete. Additionally, you need to arrive 15 minutes prior to your meeting, class, or flight training session, well-rested and ready for duty. If you are late, this time will be charged as briefing time, and you will be billed for the instructor's waiting time. If the flight instructor determines that you are not fit for duty (e.g., not well-rested or any other reason that could jeopardize safety), the lesson may be canceled, and a No-Show fee will be charged.
NO-SHOW/LATE CANCELLATION POLICY
Pilot in Training Flight Academy will impose a fee for tardiness, lack of preparation, and cancellations within 48 hours.
If you are scheduled for a ground lesson or flight training event, and weather or maintenance become a factor, you are still expected to arrive on time for training. Your instructor will decide the appropriate course of action, which may include substituting the planned lesson with another suitable for the conditions.
We understand that extenuating circumstances do occur and will allow exceptions to this policy at our sole discretion. Any time your account incurs a no-show fee, payment must be received before any further training is scheduled.
NO SHOW policy of Pilot in Training Flight Academy. Scheduled lesson cancelation that are not weather, or maintenance related must be made 48 hours in advance to your Flight Instructor or Chief Instructor. Failure to adhere to this requirement will result in a “NO SHOW” charge. Pilot in Training Flight Academy will charge $70 (Instructors 1 hour) for the first 2 No Shows and then $140 (for additional no show). Pilot in Training Flight Academy has the right to cancel future schedule for the student and terminate the contract or deny schedule if the student has more than 3 NO SHOW. The student/renter might lose his privileges to rent over the weekends.
NOTE: Calling sick/emergency situation/fatigue considered to be a No Show as well for all customers including introduction flight voucher holders.
REFUND POLICY
Deposits: All deposits made towards flight training or airplane rental are non-refundable. However, we may consider refunds on a case-by-case basis.
For approved cases, a processing fee of $125 will be charged, and there may be deductions for any discounts or benefits received.
Financing Programs: If funds are used from financing programs that are both collaborative and approved by Pilot in Training Flight Academy, refunds for these funds will follow the refund policy of the respective financing lender.
Please ensure to review the specific refund policies of your financing lender for detailed information on their procedures and conditions for refunds.
HIGHT AND WEIGHT LIMITS
Individuals exceeding a height of 6'3" will undergo an assessment during their initial flight to evaluate their comfort and ability to effectively operate the aircraft controls. For safety reasons, individuals weighing over 250lbs may not be eligible for training in Pilot in Training Flight Academy aircraft due to operational constraints. Prior to flight, a weight and balance assessment will be conducted, and if necessary, the student may be asked to obtain a seat belt extension for optimal safety.
AGE LIMIT AND SAFETY
For safety reasons, individuals under the age of 11 may not be approved for flight. Each case will be evaluated individually, taking into consideration potential safety implications. Flight instructors retain the right to cancel flights if they deem it necessary to ensure safety. Moreover, instructors have the authority to prohibit students from touching flight controls or operating the airplane if they believe it could compromise safety. These measures are in place to prioritize the safety of all involved in flight instruction.
PAYMENT POLICY
The default payment method will be a credit card payment after each flight. Our office admin who is processing payments will charge the credit card on file if the account doesn’t have enough funds deposited prior. We understand that some of our students may prefer to pay using other methods, such as a check, cash or Zelle. Students who pay with cash, check or Zelle must make a payment prior to the lesson, keep in mind processing time.
Credit Card Fee of 3.89% will be charged if paid with credit or with debit card.
We are still offering a 5% discount for a $2000 deposit with cash, check or Zelle. Students who choose this option must deposit the funds prior to the flight.
Students with a negative balance will be charged a late fee weekly ($50 per week) per our company’s rental agreement and all the future flight training will be suspended until their balance is paid in full. Carrying the negative balance consistently will cause the students to be subject to termination.
A charge of $35 processing fee will be applied, if card on file was declined. In case of repeating card declines a student will have to make a deposit of $500 prior to his for future training.
